Located in Ottawa, Canada's capital, the Glebe provides over 14,000 Health, beauty and personal products with a team dedicated to providing a personal service for all its customers. This level of dedication needs coordinated management and when Crystal Lauzon, Finance Manager, wanted to implement best practice that was in tune with the kind of dedication that has made the Glebe a leading exponent in holistic pharmacy, she turned to Schedule24.
Problem
Keeping track of the staff's working hours, overtime, and activities with only pen and paper was proving too inflexible, and people sometimes just couldn't remember the detail several days or weeks later. It was not just about working hours. Even with small team management a lot of information about skills, pharmacy training, and even information about allergies was especially important. All this needed to be recorded and retrieved quickly when required.
Payroll was another important consideration and the manual recording of staff schedules was making that a slow and tiresome task as double-checking had to be regularly carried out, especially to keep track of overtime hours.
Manual ad hoc procedures involving different managers often resulted in similar information being represented in different ways. This meant it had to be processed again and standardized before going to payroll. The job always got done but the Finance Manager knew life would be easier if it could be more standardized and disciplined, especially as far as payroll and staff compensation was concerned.
Solution
The Finance Manager was able to download and evaluate Schedule24 Standard Edition which was useful for creating staff schedules and standardizing practices about recording and totaling working hours. Each manager was supplied the software to manage their respective teams.
Schedule24 with its Microsoft Office-like interface was easy to understand and the Finance Manager was able to reinforce policy and method around the software. This standardized the way the managers created their staff schedules and provided information back to the Finance Manager, who
was able to use Schedule24 Standard for supervising the payroll operation using
Intuit QuickBooks.
Once practices had been established the Glebe
upgraded to Schedule24 Professional that had more powerful features for automating schedules, budget management and management reporting. Payroll time was reduced by 75% due to consistent and detailed reporting from Team Managers.
Whenever yearly working hours needed calculating, a two-hour exercise was required. Now it is completed in 10 seconds - making it a real time saver.
Schedule24 Professional is installed on users desktops and information is shared between the Managers over the Window network. Schedules are printed and posted to the teams because that is the preferred way of working, and people are happy with that. Managers also can work the way they want to work. One manager uses Schedule24 Professional frequently every day, while another manager is happier with longer but less frequent sessions. The important thing is that information can be shared and understood.
